Privacy Policy

BookedUp Technologies LLC ("BookedUp," "we," "us," or "our") operates a software platform that helps barbers, salons, and independent service professionals fill open appointment slots by sending automated text message outreach to their existing clients. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.

1. Information We Collect

When a business owner ("Business User") connects their Square account to BookedUp, we collect the following information necessary to operate the service:

• Business information: business name, email address, phone number, and Square merchant account identifiers
• Staff information: names and contact details of staff members associated with the business
• Client information:names, phone numbers, email addresses, and booking history of the Business User's clients, as provided through their connected scheduling platform (currently Square)
• Booking data: appointment history going back up to 12 months at initial connection, and ongoing booking activity collected as your calendar is synced, including last booking date and booking frequency

We do not collect this information directly from clients of our Business Users. All client data is provided to us by the Business User through their existing scheduling platform integration, and reflects information the Business User already lawfully possesses as part of their existing customer relationships.

2. How We Use Information

We use the information described above to:

• Identify open appointment slots and determine which clients may be due for a return visit
• Generate and send automated text message outreach to eligible clients on behalf of the Business User
• Track outreach activity and outcomes to improve the relevance and timing of future messages
• Operate, maintain, and improve the BookedUp platform
• Communicate with Business Users about their account and the service

3. SMS Messaging and Consent

Text messages sent through BookedUp are sent on behalf of the Business User to their own existing clients, using contact information the Business User has already collected through their normal course of business. Recipients can opt out of receiving messages at any time by replying STOP, UNSUBSCRIBE, END, QUIT, or CANCEL to any message. Opt-out requests are processed automatically and the recipient will not receive further outreach messages. Message and data rates may apply.

4. Information Sharing

We do not sell client or business information to third parties. We share information only with the following categories of service providers as necessary to operate BookedUp:

• Square, for syncing booking and client data as authorized by the Business User
• Twilio, for sending and receiving SMS messages
• Supabase, for secure data storage and hosting
• Stripe, for payment processing related to BookedUp subscriptions

These providers are contractually bound to use the information only to provide services to BookedUp and not for their own independent purposes.

5. Data Retention

We retain business, staff, and client information for as long as the Business User maintains an active BookedUp account. If a Business User cancels their subscription or disconnects their Square account, associated data will be deleted from our systems within 90 days, except where retention is required for legal or accounting purposes.

6. Data Security

We use industry-standard security measures, including encrypted data storage and access tokens, to protect the information in our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Business Users may request access to, correction of, or deletion of their business data by contacting us at support@bookedup.biz. Clients of a Business User who wish to be removed from outreach messaging can opt out at any time by replying STOP, or may contact their barber or salon directly.

8. Children's Privacy

BookedUp is not directed at individuals under the age of 18 and we do not knowingly collect information from minors.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated effective date at the top of this page.
